Workspace Reservation Setting Options
Admin can manage settings that based on locations or floor. Settings permission can inherit or if there is a specific settings in the floor level.
Global Settings
- Enable working remotely registration (Home office, remote desk, etc.): - will bring up a button “working remotely” that enables the user to indicate that they are working outside of the office.
- Create reservation calendar item via calendar invite: - Will mark the reservation as a scheduling event and send users the invitation for adding to the calendar.
- Show Dashboard in user portal: - Displays usage statistics panel with information such as total number of reservations and checked in.
- Allow site admins to update site specific settings: - will allow site-specific admins (such as admins for a specific floor) to modify managed location settings.
- Privacy Consent Statement: - Add consent message when user first enters the WIO module.
- Notify admin when capacity changed: - enter emails to be notified of changes in capacity control.
Location Specific Settings
- Reservation Settings - Policies:
- Total Capacity: - the amount or percentage of people allowed to book
- Registration Start Date: - The starting date that users will be allowed to reserve a workspace
- Maximum Register Ahead Time: - Maximum days ahead that a user can reserve a workspace ahead of time
- Maximum Reservation Days: - Maximum number of days a user can reserve within the maximum register ahead time
- Maximum Reservation Days Weekdays Exclusion: - Can exclude certain weekdays from “Maximum reservation days”
- Controls & Restrictions:
- Scheduling Padding: - Creates a time padding between reservations for scenarios such as cleaning
- Disabled Week days: - Weekdays where space reservation is not allowed
- Admin Registration only: - When enabled, only admins can reserve workspaces for users. Users will still be able to view reservation made for them
- Same Day Registration: - If enabled will allow user to make a reservation the same day.
- Partial Day Registration: - Gives user the option to make the beginning and ending hour of the reservation. The reservation is otherwise be made for the entire business day.
- Allow Multiple Booking: - Allows a user to make multiple bookings within the same time block.
- Social Distancing: - When enabled, will prevent reservation if workspaces are within the predefined proximity.
- Assigned Seating Registration Required: - Requires Reservation for assigned seating
- Mapping Control:
- Show Only Open Seating (Hoteling/Hot-Desking) on Map: - Will only show open seating. Assigned seating will remain hidden.
- Shows Only Available Open Seating (Hoteling/Hot-Desking) on Map: - Will only show available seats. Reserved seats will not show. This is typically used for situation where color-blindness may become an issue.
- Privacy Control:
- Reservation Visibility: - Show/hide the location of the space reservation from other users.
- Allow User To Control Reservation Visibility: - Enables user to change visibility preference
- Check-In Settings:
- Show Check-In Button: - Show/Hide check in button. Setting is ignored if check in is required
- Check-In Required: - Will enforce check in
- QR Scan Required: - User will get prompted to scan a QR code during check in
- Check-In Frequency: - User will have to periodically check in to keep reservation active. It will otherwise be cancelled.
- User Can Check-In: - Time that user will be allowed to check in before start time
- Cancel Booking If Not Check-In: - Amount of time given before the booking is cancelled if user hasn’t checked in
- Notification Channel: - Channels that push notifications will be sent to. It can be mobile push, email, or both.
- Hoteling Settings:
- Force Initial Check-In: - When disabled, initial check-in is not required if start time is less than minutes set in “User can Check-In” setting.
- Hot-Desking Settings:
- Booking Requires QR-Scan: - When enabled, system prompts user to scan the space QR when making a reservation
